الحزمة ليست عقداً بل مجموعة خطابات تشغيلية تستخدمها المنشأة عند وصول الطلب. أول خطوة فيها هي الأهم وأكثرها إغفالاً: التحقق من أن مقدم الطلب هو صاحب البيانات فعلاً أو ممثله المفوض، لأن تسليم نسخة من بيانات شخص إلى غيره خطأ أثقل من التأخر في الرد. ثم يأتي تأكيد الاستلام برقم مرجعي، فالرد الذي يبيّن ما نُفِّذ وما لم يُنفَّذ وسببه.

The pack is not a contract, it is a set of operational letters a business uses when a request lands. Its first step is the most important and the most often skipped: confirming that the requester really is the data subject or an authorised representative, because handing one person's data to someone else is a heavier mistake than a late reply. Then comes an acknowledgement with a reference number, and finally the response setting out what was done, what was not, and why.

يسألك الملء الذكي عن اسم مقدم الطلب بالعربية والإنجليزية، وطريقة التحقق من هويته: الدخول للحساب أو وثيقة هوية أو رمز يُرسل إلى الرقم المسجل، وهل هو صاحب البيانات نفسه أو ممثل مفوض مع الإثبات، ثم بيانات التواصل. وتحدد نوع الطلب: وصول أو نسخة أو تصحيح مع تفاصيله أو إتلاف أو سحب موافقة مع نطاقها، مع التفاصيل والمدى الزمني بالهجري والميلادي.

The smart-fill asks for the requester's name in Arabic and English, how identity was verified, by account login, an identity document, or a code sent to the registered number, whether the requester is the data subject or an authorised representative with proof, and the contact details. You then set the type of request: access, a copy, correction with its details, deletion, or withdrawal of consent with its scope, along with the details and the date range in both Hijri and Gregorian.

It then asks for the channel the request arrived through and its reference number, the acknowledgement window and the response period you apply, the reference together with the list of data covered and the basis for processing it, the contact point for enquiries, and the action taken: a copy provided, records corrected, data deleted, or a consent withdrawal recorded with its effective date. If part of the request is declined, you choose the ground from statutory retention, the rights of others, or the request being manifestly unfounded or repeated. You then receive a formatted bilingual Word document, editable before approval.

A reply to a data subject request is a document that may later be shown to a supervisory body or used in a complaint, and the gap between an improvised message and drafted wording shows at exactly that moment. Because handing one person's data to someone who is not its owner is itself a breach of protecting it. The pack allows part of a request to be declined with the ground stated, and it offers three grounds: statutory retention of data that must be kept, the rights of others that disclosure could affect, or the request being manifestly unfounded or repeated. A written, reasoned refusal is a far stronger position than ignoring the request or answering verbally.
